Job Description

Our client, a well-established industrial distribution and service organization, is seeking an experienced Accounts Payable Specialist to join its accounting team. This position is responsible for the timely and accurate processing of vendor invoices, payment transactions, account reconciliations, and vendor maintenance activities. The ideal candidate will possess strong organizational skills, exceptional attention to detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

  • Process vendor invoices, credit memos, and expense reports while ensuring proper approvals, coding, and account allocation.
  • Execute weekly check and ACH payment runs and maintain accurate payment records.
  • Reconcile vendor statements and investigate discrepancies to ensure timely resolution of outstanding issues.
  • Maintain and update vendor master files and supporting documentation.
  • Review invoices for accuracy and compliance with company policies and procedures.
  • Assist with month-end closing activities, including account reconciliations and accrual support.
  • Collaborate with internal departments and external vendors to resolve payment-related inquiries.
  • Monitor accounts payable aging and ensure timely processing of all obligations.
  • Support continuous improvement initiatives to enhance accounts payable processes and controls.
  • Maintain confidentiality of financial information and adhere to established accounting standards.

Qualifications:

  • High school diploma or equivalent required; Associate's degree in Accounting, Finance, or Business preferred.
  • 2+ years of accounts payable or general accounting experience.
  • Proficiency with Microsoft Excel and accounting/ERP systems.
  • Strong understanding of invoice processing, vendor management, and payment procedures.
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines with a high degree of accuracy.
  • Strong written and verbal communication skills.
  • Team-oriented mindset with a commitment to customer service and process improvement.
